OWA signatures are not updating even though deployment is successful

Problem

OWA signatures are not updating even though deployment is successful and there are no errors in the Status Monitor in Email Signature Manager.

Reason

Microsoft is rolling out roaming signatures support in OWA in Exchange Online. This update breaks existing, documented functionality to set OWA signatures using Exchange Web Services (EWS) and the Set-MailboxMessageConfiguration cmdlet in PowerShell. Email Signature Manager uses EWS to set OWA signatures. The signatures are updated, but the settings are ignored by OWA.

Solution

Microsoft is understood to be working on a new API to manage roaming signatures. Symprex plans to update Email Signature Manager to support such an API as soon as it may become available.

In the meantime, you can open a support ticket with Microsoft (in the Microsoft 365 admin center) to request them to turn off the roaming signatures feature in OWA. This will make Email Signature Manager able to update OWA signatures again.

You can determine if your account has been updated to roaming signatures in OWA following these steps:

  1. Logon to OWA
  2. Open Settings, select Email and select Compose and reply
  3. If your Compose and reply settings look as below the roaming signatures have been enabled on your account (you have the options to add new signatures and set default signatures):
