Email signature does not appear when composing email in OWA

SUMMARY


This article describes troubleshooting why email signatures do not appear in OWA when composing email.


INFORMATION


Follow these steps to troubleshoot why the email signature for a user does not appear in OWA when the user composes an email:


  1. Open Email Signature Manager.

  2. Open the Status Monitor dialog.

  3. Find the affected user.

  4. If you are unable to find the user at all, then the user is not a member of any groups defined to receive signatures in the Manage Deployment dialog, and you will need to rectify this.

  5. If you can find the user, then select the Service Log tab, and review the service log for the user.


There are two possible reasons why email signatures, that have deployed without any errors, do not show in OWA when composing email:


  • The HTML signature size exceeds the maximum size imposed by Exchange Server. The maximum signature size is 8KB. Remove white space from the HTML template to decrease size.

  • OWA Light supports only plain text email. If a Plain Text template has not been created, then no signature will be applied when composing email in OWA Light. When using a web browser that does not support the full feature set, OWA Light opens. Open the signature and create a Plain Text template.


VERIFYING THE EMAIL SIGNATURE IN OWA


In OWA in Office 365, Exchange Server 2016, and Exchange Server 2013, the email signature settings can be found as follows:


  • Click the Gear icon in the top bar of the page and select Options in the drop-down menu,
  • Select the Settings page. 
  • Review the signature in the email signature section of the mail tab.


In OWA in Exchange Server 2010, the email signature settings can be found as follows:


  • In the Options drop-down menu, select See All Options...
  • Select the Settings page. 
  • Review the signature in the E-Mail Signature section of the Mail tab.


In OWA in Exchange Server 2007, the email signature settings can be found as follows:


  • Click Options in the top bar of the page.
  • Review the signature in the E-mail Signature section.
